Administrative – Food Services Specialist

The Food Programs Specialist provides administrative support to Children’s Center programs at multiple sites, through administrative functions of food and nutrition programs, kitchen support and front desk support. This person is primarily responsible for the administration of the USDA’s Child and Adult Care Food Program (CACFP) and Summer Food Service Program (SFSP) to support the health and nutrition of the children we serve in our programs. This position also provides support and conducts the obtaining, reporting and administration of our Center’s food grants. Finally, this position is a member of our kitchen operation! team and provides support and backup to our kitchen team to ensure continuous meal service to our programs. This person reports to our Admissions and Data Manager.

Salary Range: $16.75- $17.50 hourly

Days/Hours: Monday – Friday, 8:00 a.m. – 4:00 p.m.

Essential Functions

  • Performs administrative tasks and provides oversight to all nutrition programs.
  • Provides support to admissions administrative tasks as needed.
  • Provides required CACFP and Food Handling training to teachers and administrative staff.
  • Maintains accurate records and secures confidential information.
  • Creates, collects, organizes and completes all required documentation for CACFP or SFSP. Work is performed in accordance with McGaw YMCA, USDA, NAEYC, DCFS and health department guidelines and deadlines.
  • Completes food ordering for all youth sites within budget.
  • Documents all requirements for CACFP, SFSP and any grants connected with food programs.
  • Primary deliverable is that children, parents, and program staff are satisfied with the responsiveness, timeliness, and quality of meal service and food program work completed.
  • Functions as an effective team member and part of the overall Y team.
  • Food Manager is certified, and substitutes for Kitchen Coordinator or support staff when absent.
  • Trained at Front Desk for basic operations to support when needed.
  • Assures compliance with state and local regulations as they relate to program and administrative areas.
  • Follows YMCA policies and procedures, including those related to document care, safety, cleanliness, medical situations, child abuse prevention and emergencies.
  • Participates in all required trainings including on-line and in person prerequisites, staff training week, and in-service.

Experience/Education/Certification Requirements:

  • Must be at least 21 years of age and have a valid Driver’s License.
  • Associate degree preferred.
  • Must be Food Manager Certified in the state of Illinois or the ability to get certified in first 90 days.
  • 3 years’ experience in administrative support roles, preferably with a focus in food programs.
  • Knowledge of Microsoft Office and database software required.
  • Previous experience with diverse populations preferred.
  • Must be highly organized, detail oriented and able to multitask with great communication and problem-solving skills
